Use Case Description

Vendor Delivery Tracker Process is one of the use cases which can be applicable to many industries. In this particular use case, one organization has multiple vendors associated to it. Each vendor is responsible to provide various materials each month. There is a Master data excel sheet where the operation department used to save all the information related to the vendor.

In the start of each month, the organization wants to share the pending purchase orders list respective to each vendor and ask them to provide the reason of the pending status. They used to prepare a excel report where they mention all the pending purchase order details along with the pending reason options available as a dropdown.

Similarly, they also want to keep the track of the upcoming materials that vendor needs to deliver in the coming current month. So, they also prepare a report for each vendor where they mention all the upcoming Purchase order details along with the confirmation delivery option(yes/No). If the vendor selects the confirmation delivery as No, they need to provide the tentative delivery date.

The organization then sends a consolidated email sharing the pending and upcoming Purchase order reports with the vendor and expects the vendor to response to the report. When the vendor responses to the files, the response is first validated by checking if the required information is provided and then the response is saved in the system and updated in the master file as well.

As the part of the To-Be solution, you will find how the entire process is divided into multiple sub processes where each part has its own task. Also, you will find how the reusable components are identified and designed in the solutions which consists multiple sub-processes.
