Use Case Description

M. Mahesh Menon, working as Head-HR at Rajalakshmi Engineering College, Chennai, is preparing for an increase in student intake for the upcoming academic year across various branches, including CSE, IT, CSBS, AIML, AIDS, CSD, and CS. As a result, he has been tasked with recruiting faculty members and staff for positions such as Professor, Associate Professor, Assistant Professor (SG), Assistant Professor (SS), Assistant Professor, System Engineer, and Lab Assistant. To facilitate this recruitment, he posted an advertisement in The Hindu newspaper, instructing applicants to send their resumes to recruitment@rajalakshmi.edu.in with the subject line “Application for the post of in the department of .” Following the advertisement, the email inbox was inundated with numerous applications. Mr. Menon assigned the task of reading emails and downloading resumes to his assistants, Mr. Monish and Ms. Sasikala, who found it challenging to manage this task manually. To streamline this process, a UiPath RPA bot can be developed to automate the reading of emails, extracting subject lines, and downloading resumes. The bot will save each resume in the appropriate department and position folder, naming each file based on the candidate’s mobile number (e.g., MobileNo.pdf or MobileNo.docx), thereby aiding in the efficient shortlisting of candidates and timely scheduling of interviews. An example folder structure for the CSE department would be:

Objective:

Automate the process of reading emails from the inbox, extracting subject lines, downloading resumes, and saving them in appropriately named folders based on the content.

Prerequisites:

  1. UiPath Studio installed.
  2. Email account credentials with access to the inbox.
  3. Folder structure created for each department and position.
  4. Adequate permissions to read emails and download attachments.
