Automating Data Extraction and Excel Update for HackOverflow V 4.0 Promotion Using UiPath

Use Case Description

Dr. P. Kumar, the Director of Computing and Information Sciences at Rajalakshmi Engineering College, is planning to organize a National Level Hackathon named HackOverflow V 4.0. To promote this event, he intends to communicate with all engineering colleges in the Tamil Nadu region. For this purpose, he has instructed the event coordinators, Ms. D. Sorna Shanthi and Mr. B. Bhuvaneswaran, to collect the postal addresses and official email IDs of these colleges. The coordinators need to extract this information from the Anna University Engineering Admission portal’s PDF file, TNEA-2023-IAC.pdf, and transfer it to an Excel file named HackOverflow.xlsx, which includes columns for College Name, Principal Name, Address, Pincode, Phone, and Email Id. However, manually extracting and transferring data for 450 engineering colleges from the PDF to the Excel file is a challenging and time-consuming task. To streamline this process, an RPA bot using UiPath can be developed. This bot will automate the opening of the PDF file using Adobe Acrobat, extract the required text values for the specified columns, store the extracted data into a Data Table, and finally update the Excel file with this information, including the column headings. This automation will save considerable time and effort for the coordinators, ensuring accuracy and efficiency in preparing for the Hackathon.

Objective:

Automate the extraction of college details from a PDF file and update an Excel file with this information to facilitate the promotion of the HackOverflow V 4.0 event.

Prerequisites:

  1. UiPath Studio installed.
  2. PDF file (TNEA-2023-IAC.pdf - TNEA-2023-IAC.pdf - Google Drive) containing college details.
  3. Excel file (HackOverflow.xlsx) with the columns: College Name, Principal Name, Address, Pincode, Phone, and Email Id.
  4. Adobe Acrobat or any PDF reader that allows text extraction.
