The proposed solution, “Health Sync Agent,” addresses the painfully manual and error-prone healthcare appointment scheduling process. Currently, patients submit forms, triggering emails to admin teams who manually manage physician availability, resolve calendar conflicts, and handle patient communication, leading to delays and administrative burden. Mindful MARS proposes a fully autonomous, multi-agent ecosystem built with UiPath’s Agentic Automation. This system uses intelligent agents (e.g., Patient Interaction, Availability Matching, Conflict Resolution, Symptom Identifier, Patient Records Sharing) to replicate the admin team’s logic, context awareness, and coordination skills, aiming for an 80% reduction in manual workload, zero scheduling errors, improved patient experience, and enhanced scalability.

In today’s digital healthcare world, the simple act of scheduling a doctor’s appointment remains painfully manual and error-prone. A patient fills out a form, triggering an email to the admin team. From there, it’s a repetitive grind: checking physician availability, resolving calendar conflicts, coordinating back-and-forth communication with patients — and manually managing reschedules and cancellations.
This inefficient system not only burdens administrative teams but also delays patient care and leads to scheduling errors. Traditional custom-coded solutions are costly and rigid. In an era of intelligent automation, this process cries out for a smarter, autonomous approach.

We propose a fully autonomous, multi-agent ecosystem built using UiPath’s Agentic Automation capabilities—an intelligent assistant that replicates the admin team’s logic, context awareness, and coordination skills.
Key Sub-Agents and Responsibilities:
•Patient Interaction Agent : Receives appointment requests via email or portal and understands the patient’s intent, urgency, and preferences using LLMs.
•Availability Matching Agent : Connects to the clinic’s EHR or calendar systems to fetch real-time availability of doctors, based on the patient’s requirements.
•Conflict Resolution Agent : Identifies scheduling conflicts (like double bookings or unavailable time slots) and autonomously suggests the best alternative.
•Confirmation & Reminder Agent : Confirms appointments with patients through their preferred channel (email/SMS) and sends automated reminders to reduce no-shows.
•Symptom Identifier Agent : Analyzes patient messages to identify symptoms and recommend the right specialist—improving triage efficiency.
•Patient Records Sharing Agent: Automatically pulls the patient’s past records and shares them securely with the doctor ahead of the appointment.
This solution is autonomous, context-aware, and scalable, reducing human touchpoints while ensuring better patient and provider experiences.
