Our intelligent Marine Agent, powered by UiPath, automates this entire process from parsing reports to calculating demurrage ensuring faster decisions, improved accuracy, and transparent communication across stakeholders.
Detailed problem statement
In marine logistics, vessel updates are typically shared through Noon Reports in unstructured formats such as emails, scanned PDFs, Excel sheets, and attachments. These reports are crucial for tracking vessel movements, checking port availability, and calculating applicable demurrage charges. However, manual processing of these reports is time-consuming, error-prone, and leads to delays in decision-making.
Marine operations teams often struggle with inconsistent data formats, duplicate effort in extracting relevant information, and difficulty in cross-referencing vessel names with port schedules. Additionally, calculating demurrage charges based on varying free time rules for different ports and cargo types adds further complexity. Communication gaps between marine, finance, and business teams further slow down approvals and reduce transparency.
This automation addresses these challenges by introducing a smart Marine Agent that not only reads and structures unstructured data but also automates charge calculation, port allocation, and stakeholder updates, drastically improving operational efficiency and control.
Detailed solution
In daily marine operations, Noon Reports shared by the Marine Focal are essential for tracking vessel movements, cargo status, and identifying any potential demurrage charges. These reports are sent to marine operators and business teams to provide timely updates on vessel arrivals, docking schedules, and associated port operations. However, a key challenge lies in the unstructured nature of these reports. They are often received through multiple formats such as email bodies, attachments, scanned images, excel sheets, or PDFs, making it difficult and time-consuming for teams to extract actionable insights manually.
To address this issue, we developed a smart RPA-powered Marine Agent using UiPath. This automation solution reads, processes, and structures Noon Report data regardless of the input format. It intelligently identifies the vessel type and cargo details and then cross-references the vessel name with West or East Coast report data received from port authorities received weekly containing the port and berthing availability details. This enables the agent to determine real-time port availability and automatically assign the appropriate port for berthing. The agent is also context-aware — it understands and learns from previously shared reports to respond dynamically to changes or updated inputs. Next is the demurrage excel which contains the type of cargo and port-specific free time rules.
A critical function of the agent is its ability to accurately calculate whether demurrage charges apply, based on delay, the type of cargo and port-specific free time rules. It ensures accurate tracking of timelines and determines eligibility for free time allowances at each port. This helps avoid unnecessary delays and ensures cost transparency.
The entire solution was developed and deployed using the UiPath Hackathon platform, where all agents and workflows were packaged and managed efficiently.
The Marine Agent is integrated with Microsoft Teams to provide an intuitive interface where users can interact with the bot and request updates as needed.
To maintain governance and control, the automation includes a human-in-the-loop mechanism. Marine Operations Managers can review and approve charge calculations directly.
Additionally, we’ve integrated Outlook to actively share vessel details, dock assignments, and demurrage charge summaries with stakeholders, ensuring timely and transparent communication across marine, operations, and finance teams.
