Electronic Health Record Administration
Use Case Description
Problem Statement:
Managing patient health data is critical aspect of patient care. To the smooth functioning of the system, these time-consuming administrative tasks needs to be handled by the competent team. On an average, medical practitioners ( Doctors & Nurses ) spend 40% of their daily time to fulfil the administrative tasks maintaining and updating patient health information. These requests can be any one of these:
1- Keeping adequate medical data for each patient
2- Archival of patient data to secondary storage after a certain age.
3- Disposal of patient data in case of death or as per the state \ federal mandates.
4- Release of Patient Health record to patient \ caretaker \ another practice
5- HIPPA Compliance requirements
Even though the patient data is electronic in most of the cases in US, it’s still fragmented and across multiple systems within a hospital system. It takes on an average 7-14 days to collect all data and be available for release.
Solution:
This automation would be a collection of bots:
1- Data Release Bot
The request for patient data can be made either by the patient electronically or by the hospital staff. Once the request is received, the bot will collect all relevant data for the patient from the various systems, package it (digital \ print) to be available for release. Intimate the staff & patient to collect the data.
2- Data Compliance bot
Purpose of this bot is to keep the patient data updated, while it’s reviewing patient data and ensures all required data is updated, it also keeps track of the aged data and continues to take actions to either archive or clean up data as per HIPAA guidelines.
Next Steps:
There is tremendous scope of automation in the health care space, once a few of these bots are deployed, further new use case or business challenges can be identified for further automation.
