An intelligent travel agent automation that classifies incoming emails, filters out non-travel inquiries, extracts key travel details (destination, dates, budget), and generates personalized itineraries or quotations. The solution uses a hybrid approach combining traditional RPA with agentic process automation to streamline travel inquiry handling for faster, smarter, and more scalable customer service

Detailed problem statement

Travel agencies receive a high volume of emails daily, including booking requests, general queries, and unrelated messages. Manually processing these emails is time-consuming, inconsistent, and prone to human error.

Agents have to:

  • Identify which emails are actual travel inquiries.

  • Extract trip details manually from unstructured text.

  • Build quotations or travel plans one by one.

  • Handle non-travel inquiries manually as well.

This leads to operational inefficiencies, slower response times, and lost business opportunities due to delayed or missed responses.

Detailed solution

We designed a travel agent automation that integrates Traditional RPA with Agentic Process Automation to address these challenges.

The solution performs the following tasks:

  1. Email Classification: Uses AI to detect whether an incoming email is related to a travel inquiry.

  2. Auto-Response to Irrelevant Emails: Sends a polite reply when the email is not related to travel.

  3. Travel Details Extraction: For valid inquiries, it extracts key data like destination, dates, number of travelers, and budget.

  4. Itinerary / Quotation Generation: Based on predefined logic and destination templates, the agent generates a personalized itinerary or travel quote.

  5. Summary Report to HR/Manager: Sends a daily report showing the number of processed inquiries, successful responses, and escalations for human validation.

This automation reduces manual effort by up to 90%, enabling faster response times and 24/7 handling of travel inquiries.
