Summary (abstract)
The current expense reimbursement process is slow and manual. Employees submit receipts through forms, and the finance team has to read, check, and enter the data by hand. This leads to errors, delays, and frustration.
Our solution is an Automated Expense Reimbursement Bot built using UiPath’s agentic automation tools. Employees fill out a simple form and upload their receipt. The bot reads the receipt using UiPath Document Understanding, checks if it follows company policy (like allowed vendors and amount limit), and then enters valid data into Excel using UiPath Robots.
If the data is unclear or doesn’t follow policy, it is sent to the UiPath Action Center for human review. The bot also sends email updates to employees and creates reports using UiPath Insights. Over time, it learns from past data using Process Mining and Task Mining, making the process smarter and faster.
This end-to-end solution saves time, reduces errors, improves speed, and gives employees a much better experience — all using UiPath Enterprise Agent tools.
Detailed problem statement
The current expense reimbursement process is highly manual and time-consuming. Employees submit receipts via form, and finance teams manually extract data (amount, vendor, date), verify policy compliance, and enter it into systems like Excel. Basic automations (such as email sorting or macros) exist but do not cover end-to-end processing.
Challenges include high manual effort, data entry errors, delayed reimbursements, low scalability, and poor employee experience. Current systems lack agentic automation capabilities, meaning they cannot autonomously handle exceptions, learn from patterns, or adapt dynamically without human intervention.
Detailed solution
We propose an Automated Expense Reimbursement Bot powered by agentic automation and UiPath agents.
Employees will submit receipts via form. The bot uses UiPath Document Understanding™ to extract key data (amount, vendor, date), validates it against policy rules using coded agents and UiPath Integration Service, and then automatically enters approved expenses into systems like Excel using UiPath Robots.
Non-compliant or uncertain cases are routed to UiPath Action Center for human intervention. After processing, the bot generates consolidated reports using UiPath Insights and automatically notifies finance and employees.
Agentic automation and UiPath agents enable dynamic decision-making, self-directed exception handling, and continuous learning from process data through UiPath Process Mining and Task Mining. This creates an end-to-end, intelligent, and adaptive reimbursement workflow.

The solution will significantly reduce manual effort (by over 90%), improve data accuracy, ensure faster reimbursements, and enhance employee satisfaction. It will also improve compliance and audit readiness, provide real-time process visibility, and enable scalable operations without additional workforce.
