Summary (abstract)
Agentic Solution for a gigantic problem. As soon as an Enquire arrives, we need to find to who it should be assigned to, what it is about and how to answer it properly. The Enquire Handler Assistant cross reference data from our backend with the context on each enquire and voilà - context data is added, the responsible person is assigned and even a response is proposed.
Detailed problem statement
We receive 25 inquires everyday for a vast list of products in 120+ countries. Finding the correct responsible is a big challenge. The selection in our website does not reflect the granularity of our products and in order to find, who, what and how, an equivalent of 3 FTEs (22 hours) is used every day.
Detailed solution
A robot read the enquires and through LLM, it identify the context of the product type (what), then another agent will cross reference a list of product responsible (who). It defines the reason why the person has been selected and the confidence level. Finally a workflow is called to process a response (how) to each inquire. It searches on the web for the organization, it’s relation to the product type and Everllence, finally it uses LLM to compose a proper suggested response.

- 25 new messages per day at 55 minutes each, it is about ~3FTEs – down to 1/2 FTE
- We can avoid unnecessary message loops
- Responding faster to our existing and potential new customers means business growth
- Routing emails is a job for a robot, assessing and responding is a job for digital agents. So, employee satisfaction should be improved
