Summary (abstract)
WealthCaseIQ is an agentic client onboarding case management solution for financial services. It combines AI-powered document understanding, deterministic API workflows, human-in-the-loop reviews, and UiPath Maestro orchestration to manage complex onboarding cases from initial document intake through risk assessment, compliance review, account provisioning, and audit closure.
The solution demonstrates a practical enterprise pattern where AI assists with understanding and summarization, deterministic workflows control business decisions, and human reviewers remain responsible for exceptions and sensitive compliance decisions.
Detailed problem statement
Client onboarding in financial services is often document-heavy, exception-heavy, and highly dependent on coordination between multiple teams.
A typical onboarding request may include an application form, identity document, address proof, and tax documentation. These documents must be reviewed for completeness and consistency before additional checks such as duplicate-client detection and risk screening can occur.
When exceptions are identified, cases may move between Operations, Compliance, supervisors, and provisioning teams. Missing documents can require additional communication with the client, while higher-risk cases may require additional verification or supervisory review.
Managing these activities manually can create several challenges:
Repetitive document review and data validation
Delays caused by manual handoffs between teams
Inconsistent handling of exceptions
Duplicate-client or account creation risk
Difficulty tracking why a case was approved, rejected, or escalated
Multiple follow-ups for missing or incorrect documentation
Limited end-to-end visibility into onboarding status
Difficulty maintaining a complete audit history across automated and human decisions
The challenge is not simply automating individual tasks. The process needs an orchestration layer capable of managing long-running cases, exceptions, human decisions, AI assistance, deterministic business rules, and wait/resume scenarios within one controlled workflow.
Detailed solution
WealthCaseIQ uses UiPath Maestro to orchestrate the complete onboarding case lifecycle.
The process begins when an onboarding email containing supporting documents is received. The attachments are prepared and passed to an AI Document Review Agent, which identifies document types, extracts relevant information, validates required documents, and checks consistency across the submitted documents.
If documents are missing, expired, incomplete, or inconsistent, Maestro routes the case to the appropriate remediation path. The solution can request corrected documentation and wait for a response before automatically resuming the case.
Once document validation succeeds, a deterministic API workflow performs duplicate-client checking. Potential duplicates are routed to an Operations Review application where a human user can review the information and determine the appropriate next action.
The case then moves to risk assessment. A deterministic risk-scoring workflow evaluates document results, duplicate information, and simulated AML, PEP, sanctions, adverse-media, fraud, and data-mismatch indicators. An AI agent converts the structured risk result into a business-readable explanation without modifying the calculated score or determining the final routing.
Low-risk cases can continue toward provisioning, while risk exceptions are routed to a Compliance Review application. Compliance users can approve the onboarding, request additional verification, send the case back to Operations, escalate it to a supervisor, or reject it.
Higher-level exceptions can be routed to a Supervisor Escalation application for additional review.
After approval, a deterministic provisioning workflow simulates creation or update of the client/account within a wealth management CRM. Finally, an audit-closure workflow records the outcome and key decisions made throughout the case. An AI Audit Summary Agent then creates a readable narrative of the completed case.
A key design principle is separation of responsibilities:
AI agents are used for document understanding and human-readable explanations.
Deterministic workflows control duplicate checking, risk scoring, routing, provisioning, and case closure.
Human reviewers remain responsible for operational exceptions, compliance decisions, and supervisory approvals.
This provides an explainable and auditable automation pattern that can be adapted to other regulated, document-intensive processes.

Expected impact of this automation
WealthCaseIQ demonstrates how agentic automation can reduce the operational complexity of financial-services onboarding while maintaining human control over important decisions.
Expected benefits include:
Reduced manual document review and repetitive validation activities
Faster routing of onboarding cases and exceptions
Reduced manual handoffs between Operations, Compliance, supervisors, and provisioning teams
Earlier identification of missing, expired, or inconsistent documents
Improved detection and controlled handling of potential duplicate clients
Consistent risk-evaluation and routing logic
Faster resolution of document and compliance exceptions through structured human-review applications
Improved end-to-end visibility into case status and decision history
Stronger auditability by preserving automated results, human decisions, provisioning results, and final case outcomes
Improved explainability by separating AI-generated summaries from deterministic business decisions
Reduced risk of uncontrolled AI decision-making in sensitive onboarding processes
The architecture is also reusable. The same pattern could be adapted for KYC refresh, account maintenance, insurance onboarding, loan processing, claims intake, vendor onboarding, and other document-heavy case management processes.

Financial Services – Client Onboarding / KYC / Compliance Case Management
Integration with external technologies
The solution demonstrates integration with external systems using a combination of UiPath Integration Service and API-based workflows. Integrations include: Gmail – used to initiate onboarding cases from incoming emails, receive onboarding documents, send document or clarification requests, and support wait/resume scenarios. REST/JSON-style APIs – used to demonstrate deterministic duplicate checking, risk scoring, account provisioning, and audit closure. Mock Wealth CRM – represents an external client/account platform and demonstrates new-client creation, adding accounts to existing clients, and controlled client-record updates. Simulated KYC/AML screening services – synthetic test scenarios are used to represent AML, PEP, sanctions, adverse-media, fraud, and other onboarding-risk indicators. In a production implementation, these would be replaced with approved enterprise screening services. Structured JSON contracts are used between agents, workflows, human-review applications, and Maestro so that case routing remains explicit and predictable. The project uses synthetic demonstration data and does not contain real customer or company information.
