I’m developing an Inquiry Management application using UiPath Apps and need guidance on implementing an activity/history section for each Inquiry.
I have the following requirements:
Comment Activity: When a user enters a comment in the Text Area and clicks Add, the comment should be saved and an activity should be added to the Custom List with the User, Date/Time, and Comment.
Assignment Activity: When the Assigned To value changes, an activity should be created showing the Previous Assignee, New Assignee, User, and Date/Time.
Status Activity: When the Status changes, an activity should be created showing the Previous Status, New Status, User, and Date/Time.
File Upload Activity: When a file is uploaded using the File Upload control, an activity should be created showing the File Name, Uploaded By, and Date/Time.
Persistent History: All activities should be stored against the corresponding Inquiry ID and remain available when the inquiry is closed and reopened.
Automatic Loading: When the Inquiry Details page is opened, the existing activity history for that Inquiry ID should automatically populate the Custom List.
Real-Time Refresh: After a new activity is created, the Custom List should refresh automatically and display the latest activity.
My Questions
What is the recommended approach in UiPath Apps to implement this activity-history functionality?
Should I maintain the activity history in a separate Data Service entity/table linked using the Inquiry ID?
3.How can I create an Activity History record from UiPath Apps Rules when:
A comment is added using the Text Area and Add button?
The Assigned To value changes?
The Status value changes?
A file is uploaded using the File Upload control?
What is the best way to trigger the activity creation when a File Upload is completed?
How can I automatically load the existing history when the Inquiry Details page opens?
How can I refresh the Custom List immediately after adding a new activity without refreshing the entire page?
If possible, could someone provide a recommended UiPath Apps rule/workflow structure for implementing this?
Hi @Shreeya_Joshi ,
A simple and recommended approach is to create a separate Data Service entity called ActivityHistory and link it to the Inquiry using InquiryID. This keeps all audit/history records persistent and easy to load.
Try these:
Fields:
InquiryID
ActivityType (Comment, Assignment, Status Change, File Upload)
Details
PreviousValue
NewValue
User
CreatedDate
Implementation
1. Comment Activity
On Add Comment button click:
Create ActivityHistory record.
ActivityType = “Comment”
Details = Comment text
User = Logged-in user
CreatedDate = Now()
2. Assignment Change
Store current assignee in a variable when page loads.
On Update:
If old assignee ≠ new assignee, create ActivityHistory record.
PreviousValue = Old Assignee
NewValue = New Assignee
3. Status Change
Similar to assignment change.
Compare old status and new status.
Create ActivityHistory record if changed.
4. File Upload
After file upload completes and attachment is saved:
Create ActivityHistory record.
ActivityType = “File Upload”
Details = Uploaded file name
User = Logged-in user
Loading History
On Inquiry Details page load, query ActivityHistory where:
InquiryID = CurrentInquiryID
Bind the result to the Custom List sorted by CreatedDate descending.
Real-Time Refresh
After creating any activity:
Create the ActivityHistory record.
Re-query ActivityHistory for the current InquiryID.
Update the Custom List datasource.
No full page refresh is required.
This design provides a complete audit trail for comments, status changes, assignment updates, and file uploads, while ensuring the history remains available whenever the inquiry is reopened.
