Summary (abstract)
Employee onboarding is often slow, manual, and error prone. Our solution: an agentic UiPath-powered Joiner Agent that fully automates onboarding—from ticket intake to IT handover. It intelligently validates data, triggers approvals, provisions accounts, and resolves issues autonomously, transforming a complex process into a fast, seamless experience.

What real-world problem are we solving?
Our current employee onboarding (Joiner) process is fragmented and labour-intensive. It involves manual ticket triage in Zendesk, account creation in Entra ID/AD, group and application access setup, and numerous approval workflows. Although some basic automations exist, they are siloed, non-intelligent, and heavily reliant on human intervention.
Why does it matter?
This results in onboarding delays, inconsistent access provisioning, increased IT workload, and a poor joiner experience. Coordinating complex, conditional tasks across disconnected systems with incomplete data is not only inefficient but also prone to error. This is a widespread issue across industries and organizations with structured onboarding needs.
Detailed solution
We propose a UiPath-powered Joiner Agent that autonomously manages the entire onboarding process from Zendesk ticket intake to final IT handover. Using UiPath, the agent will extract structured data, validate completeness, trigger approvals, provision users in Entra ID/AD, assign group and app access, configure email settings, and notify stakeholders. Agentic automation enables the agent to make decisions based on user type and region, reattempt failed steps and wait for missing inputs. This end-to-end orchestration across multiple systems—Zendesk, SharePoint, Microsoft 365—would be packaged as a coded agent leveraging UiPath for maximum control and reusability. The approach is flexible and adaptable, making it valuable for any organization seeking to streamline HR onboarding workflows.
Technical Details:
The Joiners Onboarding agentic process is executed on UiPath Maestro process which consists of 4 agents along with their tools and escalation app. There is a front user UiPath Apps from where user can submit details about the new joiner and start the whole process of onboarding the new joiner.
There are 4 agents:
Extraction Agent: Agent responsible for extracting defined details from the user submission. Then using one tool, upload the details onto the user details list on UiPath Data Fabric. After that delegate process to the Entra Agent.
Entra Agent: Agent responsible for collating required details for Entra ID creation and adding those details on to Entra ID list on UiPath Data Fabric. After that delegate process to the Application Agent.
Application Agent: Agent responsible for escalating task to Line manager asking about if the new joiner is US based and the application, hardware setup details required. After fetching details from the Action Center escalation app, agent
uploads the data on to Application list on UiPath Data Fabric.
Output Agent: Agent responsible for collating all the responses, status of other agents and send it to the UiPath Apps as the final response.
