Summary (abstract)

HireGenie is an agentic AI recruitment solution that automates the end-to-end hiring process from resume screening, AI voice agents that call and pre-screen candidates, candidate evaluation, to onboarding using AI, RPA, and autonomous agents to accelerate hiring, reduce manual effort, and improve recruitment outcomes.

Detailed problem statement

The current process for handling job applications received via email is largely manual, time-consuming, and inefficient. Recruiters must read unstructured emails, download and review resumes, identify the relevant job role, and manually match candidates against job descriptions.

This end-to-end screening process can take several minutes per application, and with hundreds of applications for a single role, it significantly delays the hiring cycle. Additionally, the lack of standardized data leads to inconsistent evaluations, difficulty in tracking candidates, and a higher risk of overlooking qualified applicants.

This process is widely followed across organizations globally, making these inefficiencies universal and resulting in significant time and resource wastage at scale.

Detailed solution

We propose an AI-powered agentic recruitment solution that intelligently reads incoming emails, classifies them, extracts candidate information, and analyzes resumes against open job positions and job descriptions.

Email Triage Agent:
Resume Screening Agent: Checks for open position and JD, matches submitted candidate resume against it, and generates a structured evaluation report (skills, strengths, gaps, match score, suggestion)

Voice Call Agent: Calls the candidate for pre-screening questions, checks interview availability, schedules the interview, and sends the meeting invite.

Email triage: (not a standalone agent): scans the recruiter inbox for new candidate submissions, extracts attachments, and routes them into the Resume Screening Agent, implemented using UiPath GenAI activities/capabilities.

This approach can reduce manual screening effort by 60–75%, accelerate initial candidate evaluation by 3–5x, and enable consistent, unbiased assessments.

The manual recruitment flow is largely the same across organizations worldwide, making HireGenie highly scalable. By automating repetitive hiring tasks with AI agents, organizations can standardize recruitment, reduce manual effort, accelerate hiring, and achieve significant time and cost savings at scale.

Expected impact of this automation

Reduced Manual Effort: Automates repetitive tasks like email reading, resume screening, and data extraction, reducing recruiter workload by up to 60–75%.

Faster Candidate Processing: Speeds up application screening by 3–5x, enabling quicker responses and improving overall hiring cycle time.

Scalable Across Regions: Handles large volumes of applications seamlessly and can be deployed across multiple countries, delivering significant time and cost savings at scale.

Improved Recruiter Productivity: Allows recruiters to focus on interviews and decision-making instead of repetitive screening activities.

Centralized & Structured Data: Stores all candidate insights in shared file, making tracking, reporting, and decision-making easier.

Consistent & Intelligent Evaluation: Uses AI-driven analysis and JD matching to ensure standardized and reliable candidate evaluation across all applications.
