Use "Archive Email " activity under Outlook

Deleted emails are permanently removed from your account and free up storage space. Archived emails are still stored in your account but moved to a different location. They don’t take up space in your inbox but still count toward your total storage allowance.

  1. Install the Required Packages: If you haven’t installed the “UiPath.Mail.Activities” package yet, you can do so from the “Manage Packages” option in UiPath Studio.
  2. Connect to Your Email Client: Use the appropriate activity to connect to your email client (e.g., “Get Outlook Mail Messages” for Microsoft Outlook or “Get IMAP Mail Messages” for Gmail). These activities will retrieve emails from your inbox.
  3. Filter the Emails: Use the filtering options provided by the email activities to select the emails you want to archive. You can filter emails based on various criteria such as sender, subject, date, etc.
  4. Move Emails to Archive Folder: Use the “Move Outlook Mail Message” activity or the “Move IMAP Mail Message” activity (depending on your email client) to move the selected emails to the archive folder. Make sure to specify the destination folder where you want to archive the emails.
  5. Delete or Mark as Read (Optional): After archiving the emails, you can choose to delete them from the main inbox or mark them as read using the appropriate activities like “Delete Outlook Mail Message” or “Mark IMAP Mail Message as Read.”
  6. Disconnect from the Email Client (Optional): If required, use the appropriate activity to disconnect from the email client after completing the archiving process.
